10 Steps to our fit out process
Our fit out process is simple. We’ve outlined each step. This will give you an understanding of how we will work together.
Project Brief & Documentation
We begin by working with the client’s appointed architectural office, who prepares and provides all necessary documents — including AutoCAD drawings, Bill of Quantities (BOQ), and product specification sheets (FF&E).
Initial Costing & Scope Definition
Upon receiving the documentation, we prepare an initial cost estimate, clearly stating inclusions and exclusions. Our Costing & Analysis Department reviews the files, seeks clarification if needed, and coordinates with the architectural office for answers.
Sample Room (If Requested)
If a sample room is required, we prepare a cost proposal at a premium rate. Should the full project proceed, the sample room cost is recalculated at the standard rate and deducted from the final contract value.
Detailed Proposal & Value Engineering
We submit the main proposal and revise it as discussions progress. If requested, we offer cost engineering—advising on ways to reduce costs without compromising design integrity. The final proposal reflects the client’s preferred solutions.
Contract & Payment Terms
Once the proposal is approved, we move to contract signing, often facilitated through legal counsel. Payment terms and delivery methods are confirmed, typically 50% upfront and 50% upon goods readiness or a split payment including post-installation balance. Shipping terms (EXW, CIF, FOB) are agreed upon, with any additional shipping services quoted separately.
Site Measurement
Our team visits the project site to take precise measurements. Travel, accommodation, and subsistence costs are typically covered by the client.
Production Planning & Approvals
After receiving the initial payment, our production team prepares a detailed work schedule. Material procurement begins, and our architects produce shop drawings for approval by the client’s architectural team. Approved drawings are released to manufacturing.
Quality Control, Packaging & Shipping
Products undergo rigorous quality control before packaging. The client may appoint a supervisor or third-party inspection company for verification. Logistics prepares all necessary shipping documents (Bill of Lading, Commercial Invoice, Packing List). For urgent or special cases, air freight can be arranged with an Airway Bill provided.
Installation & Touch-Ups
If installation is excluded from our scope, clients may request Bienal technicians for touch-ups or minor repairs toward project completion. Such services are subject to mutual agreement on travel and accommodation arrangements.
Damage Assessment & Warranty
Potential damages can occur at multiple stages—from production to installation. Damage assessments are conducted with a supervisor present, and a Damage Report is issued. Bienal typically provides a 2–3 year warranty against manufacturing defects for project deliveries.
